Bookkeeping, payroll tax and sales tax for trucking, limo & transportation companies
A transportation company’s books are driven by fuel, maintenance, insurance and driver pay. RazaPro records each cost in the right category, tracks driver and owner-operator payments, and calculates payroll tax, so the owner sees what each month earned and has clean records for fuel-tax and highway-use filings.
What trucking, limo & transportation companies have to get right
Fuel and road costs by the dozen
Fuel cards, tolls, tires, repairs and permits produce a long list of small transactions. They need consistent categories to show cost per vehicle or per month.
Drivers: employees or owner-operators
Employees are on payroll with withholding. Owner-operators are paid as independent contractors and reported on Form 1099-NEC. The classification depends on the facts, so it stays with the owner and their CPA.
Heavy-vehicle and fuel-tax filings
Carriers with heavy vehicles have extra filings, such as the heavy highway vehicle use tax (Form 2290) and, for interstate carriers, quarterly fuel-tax reports under the International Fuel Tax Agreement. Those need organized fuel and vehicle records.
Platform and dispatch payouts
Limo and car-service income often arrives as net payouts from dispatch or booking platforms, after commissions. The gross trip revenue has to be rebuilt from the statements.

What it costs

Bookkeeping is priced by transactions: $75 a month up to 150 transactions, $100 up to 300 and $120 up to 500. Catch-up work, extra states and larger payrolls are quoted before any work starts.See all plans and the estimator.

Sales tax
Sales tax on passenger transportation and freight differs by state and by service. RazaPro calculates and prepares it where the client’s state requires it, after the client’s CPA confirms the rule.
Payroll and payroll tax
Up to five employees in one state are in the standard scope: payroll each period, payroll tax deposits, Forms 941 and 940 and state returns prepared. Drivers working across several states need the extra states quoted.
Not included in the standard scope
- IFTA, IRP and Form 2290 filings (quoted separately or kept with the owner’s preparer)
- Driver classification decisions (owner and CPA)
- Per-load or per-trip profitability reporting beyond the standard reports
- Safety, licence and DOT compliance
RazaPro does not prepare or file income tax returns or give tax advice. Tax decisions and signatures stay with the business and its CPA.

Frequently asked questions
How much does bookkeeping cost for a trucking company?
Bookkeeping is $75 to $120 a month depending on transactions. With payroll tax it is $130 to $140, and with sales tax as well it is $150 to $170.
Do you handle driver payroll and owner-operators?
Employed drivers are on payroll with payroll tax calculated. Owner-operators are tracked as contractors for 1099 totals. The classification decision stays with the owner and their CPA.
Do you file IFTA or Form 2290?
Those filings are outside the standard monthly scope. The books keep fuel and expense records organized so the filings can be prepared, and RazaPro quotes the filings separately if wanted.
Can you work from platform or dispatch payouts?
Yes. Net payouts are rebuilt into gross revenue and commissions from the platform statements so the books agree with the bank.
