Bookkeeping, payroll tax and sales tax for grocery, convenience & smoke shops

Grocery and convenience stores run on thin margins and many small sales, so small bookkeeping errors become real money. RazaPro reconciles daily deposits and card payouts, codes distributor invoices, and calculates sales tax on taxable items, so the monthly numbers match the bank.

What makes the books hard

What grocery, convenience & smoke shops have to get right

Many small transactions and daily deposits

Cash and card sales are deposited daily or several times a week. The deposit list is long, and any missing deposit shows up as an unexplained difference at month-end.

Distributor invoices and cash purchases

Stock is bought from distributors on terms, from cash-and-carry suppliers, and sometimes on delivery with cash. Each needs a bill or receipt to be coded correctly.

Taxable and exempt items on the same receipt

Food, drinks, household goods and tobacco or similar products can each be taxed differently, and states differ. Sales tax is only as accurate as the item categories behind it.

Stock is the largest asset

Inventory sits on the balance sheet and moves every day. Counting and valuing it is a separate project from the monthly bookkeeping.

Sales tax

Which items are taxable depends on the state, and some states add excise taxes on tobacco or similar products. RazaPro sets up the item categories the client’s state requires, calculates the sales tax each period, and prepares the return for the owner or accounting firm to file.

Payroll and payroll tax

A store with up to five employees fits the standard scope. Payroll and payroll tax are calculated each period, with quarterly returns prepared. Larger staffs are priced separately.

Not included in the standard scope

  • Physical inventory counts and inventory valuation (quoted separately)
  • Licence and excise filings handled by the owner or their CPA
  • Multi-store consolidation
  • Pricing and margin consulting

RazaPro does not prepare or file income tax returns or give tax advice. Tax decisions and signatures stay with the business and its CPA.
