Three examples of the work, without the client names

Our team has supported a US accounting firm with the monthly bookkeeping, quarterly sales tax and payroll tax work of small-business clients. These are three of them: a gym, a restaurant and a construction company. Names, locations and figures are left out, so only what the team did is described.

A restaurant with high card-sale volume. Sales tax is collected on most sales, so the quarterly return carries the most weight here.

What the team handled

The same routine for each client

  • Accounts: 1 to 2 bank accounts and 1 to 2 credit cards each
  • Software: QuickBooks Desktop, one shared company file on a virtual machine used from every computer in the office
  • Bookkeeping: Monthly: bank and card transactions entered and reconciled to the statements
  • Sales tax: Calculated every quarter and handed over ready to file
  • Payroll: Payroll and payroll tax calculated monthly or quarterly, depending on the client, and delivered on time
Where the team started

Three different starting points

  • New clients: QuickBooks set up from scratch and connected to the bank and card accounts.
  • Existing clients: Every account reconciled against the statements, so the books agreed with the bank again.
  • Long-time clients of the firm: Books that had been with the firm for a long time before the team took over, kept current each month.

How fast the work runs. With QuickBooks already connected to the bank, the team works through about 100 to 150 transactions an hour. If QuickBooks is not yet connected, connecting and matching it takes about 1 to 2 hours once. This is our working pace, not a promise for every client.
